Privacy Policy

This Privacy Policy explains how ManyAve ("ManyAve", "we", "us", or "our") — a Texas-based company building software for homeowner associations and condo boards — handles personal information. It covers our marketing site, our product, and the emails we send on behalf of associations using ManyAve.

1. Who controls the data

For data an association uploads into ManyAve — owner records, ledgers, documents, messages, votes — the association is the controller, and ManyAve is a processor acting on its instructions. For account signups and email correspondence you send us directly (for example, writing to hello@manyave.com), ManyAve is the controller.

2. What we collect

From people using the product:

  • Owner records the association uploads or enters: name, address, email, phone, unit or lot, and roles within the community.
  • Financial ledger entries: dues assessments, payments, late fees, statements, and CSV reports.
  • Violation records, hearing notes, fines, dispute correspondence, and the postal-mail status of notices sent via our delivery partner.
  • Documents the association uploads (CC&Rs, bylaws, meeting minutes, policies) and questions asked through the AI Document Q&A.
  • Owner votes and ballots, with an audit trail of who voted and when.
  • Messages and announcements posted on the community page and kiosk.
  • Account and authentication data: email address, hashed password or single-sign-on identifier, sign-in timestamps and IP address.

From visitors to our marketing site:

  • Email correspondence you send us at hello@manyave.com, including anything you choose to include in your message.
  • Basic request logs (IP address, user agent, referrer) kept for security and abuse prevention.

3. How we use it

We use this information to operate and improve the Service, to send transactional messages (dues notices, violation notices, community updates) on the association's behalf, to respond to your inquiries, to keep accounts secure, and to meet legal obligations. We do not sell personal information, and we do not use association data to train third-party AI models.

4. Payments

Owner payments are processed by Stripe. Card numbers, bank account numbers, and similar payment credentials are tokenized by Stripe and are never stored on ManyAve's servers. We retain transaction metadata (amount, date, last four digits, status) to power the ledger and receipts.

5. Third-party processors

We use a small number of vendors to run the Service. They process data only on our instructions:

  • Stripe — payment processing.
  • Email delivery providers — for transactional and notification email on behalf of associations.
  • Lob (or a comparable carrier) — for printing and mailing physical violation notices when an association uses postal delivery.
  • Cloud hosting and database infrastructure — to store and serve the application.

6. Cookies and analytics

We use a small number of first-party cookies that are necessary to keep you signed in and to remember basic preferences (theme, session). We use lightweight, privacy-respecting analytics to understand how the marketing site is used. We don't run third-party advertising trackers, and we don't sell or share data with ad networks.

7. Data ownership and retention

Association data belongs to the association. While your account is active, we retain it for as long as the association needs it. On cancellation, you may export your ledger, documents, owner roster, and message history for a reasonable period (at least 30 days) before we delete it from active systems. Routine backups age out on our standard schedule afterward.

Email correspondence is retained for up to 24 months so we can follow up and keep our records straight.

8. Your choices

Owners and board members can ask their association to correct or remove their information at any time. If you contacted us through this site and want your record updated or deleted, write to hello@manyave.com and we'll handle it. Marketing emails always include a one-click unsubscribe.

9. Security

Data is transmitted over TLS and stored on encrypted infrastructure. Access to production systems is limited to staff who need it. That said, no system is perfectly secure — if you spot something, tell us at hello@manyave.com.

10. Children

ManyAve is intended for use by adults running and participating in community associations. We do not knowingly collect personal information from children under 13.

11. Changes to this policy

We may update this Privacy Policy from time to time. If changes are material, we'll give reasonable notice — typically by email or an in-app message — before they take effect.
